Check the Country Program’s personnel manual to make sure you are using their policy on who is eligible for overtime and under what circumstances – and what the overtime rates are.
Discuss with the country program whether their typical overtime pay policy will be amended for the acute phase of an emergency response. Are there limits on the total amount of overtime hours staff can work? During a response you might exceed those hours pretty quickly and you’ll need to decide what to do about that.
All overtime hours must be approved by the supervisor of the employee. We’ve attached an overtime approval form you can use for this, if the country program doesn’t have one.
Print a bunch out at the beginning of the month and have supervisors fill them out as they go.
If a staff person worked overtime, this approved form must be attached to his or her timesheet at the end of the month in which he/she worked the overtime hours.
